SPRING 2024 MEMORANDUM

DATE:     April 18, 2024

TO:           Department Chairs, Directors of Graduate Studies, and Academic Administrators

FROM:     Maria Snyder, Associate Dean of Academic Affairs

RE:           Request for Staff Volunteers for the Spring 2024 Graduate School Commencement Ceremony

The purpose of this memo is to seek your help in identifying and encouraging staff volunteers to assist us with the Graduate School Commencement Ceremony on Friday, May 17, 2024

Participation of all graduate departments and programs is essential to the success of this day. We ask that you please send this memo and links to all your staff and encourage them to volunteer. In return, we promise to make their participation clearly defined, limited to 1-2 hours of duties, and (we hope) enjoyable and rewarding as they help our graduate students to participate in this memorable day honoring their academic achievements.

THE CEREMONY

The Graduate School Commencement Ceremony will be held on Friday, May 17, 2024 on Healy Lawn (rain or shine;  severe weather site in McDonough Gymnasium). Students will begin assembling at 7:30 a.m. Faculty will assemble at 7:50 a.m., and the academic procession will begin at exactly 8:35 a.m. The Commencement Ceremony itself will begin promptly at 9:00 a.m.

Staff are needed in two locations: White-Gravenor and ICC for student check-in and lineup; and at Healy Lawn for stage and seating preparation.

All participating Staff should report to their assigned locations no later than 7:00 a.m. on Friday, May 17.

During the Commencement Ceremony, the names of all attending degree candidates will be read and each graduate will cross the stage to be congratulated by President DeGioia and Dean Sens.

PARTICIPATION

The Graduate School requires at least two representatives from each program or department to help with Commencement, and three representatives from the larger programs and departments. Staff who wish to volunteer should complete the brief online Staff Volunteer Form (link is below) no later than May 1, 2024. All department / program Staff (except faculty) participating in some way in the Graduate School Commencement Ceremony should complete the online form so that we have a central registry of contacts.

Thank you to all the dedicated staff who are an essential part in making this day successful for our graduates and their families and guests. It is impossible for us to do this without you, and we know you want this to be a memorable day for your graduates.

We look forward to working with you!
